The General tab under Setup > ATO SmartDocs > Configurations shows the practice‑wide general settings you can modify for ATO SmartDocs.
Amount variance
Enter the acceptable amount variance in dollars and cents.
If the assessed amount on the Notice of Assessment (NOA) falls within the variance when compared with the client’s estimated tax amount in HubData, the document is processed without creating a workflow.
When an NOA goes for approval, the assessed amount appears in the Notes area of the workflow.
File name custom date format
Use the File name custom date format field to customise the [Date] field used in document naming.
Refer to Microsoft’s list of accepted date formats:
https://docs.microsoft.com/en-us/dotnet/standard/base-types/custom-date-and-time-format-stringsSelect your preferred date format.
Click the beacon next to the field to preview the resulting appearance.
Formatted financial year
Use the Formatted financial year field if you want to save documents using a format other than the default YYYY.
If you change this field (for example, from YYYY to YY), update your document profiles to use [FormattedFinYear] wherever you want the new format applied—such as default file names or folder names.
SmartDocs Vault
The SmartDocs Vault field must be set up and enabled for your practice.
For more information, refer to SmartDocs Vault.
Daily PINs
Enable Daily PINs if you want clients to receive the same PIN for all documents emailed to them within a 24‑hour period (per mobile number).
This option only applies to clients whose delivery method is email.
NoPIN courtesy SMS
Enable NoPIN courtesy SMS if you use the NoPIN delivery method.
When enabled, any client flagged as NoPIN receives a courtesy SMS when their email is sent.
Email and letter settings
Email format name
Use the Email format name field to add a suffix to the document name when exporting email copies to your document management system.
Example: If the document is named ABN Cancellation, the exported email may be named ABN Cancellation_email.
Letter format name
Use the Letter format name field to add a suffix to letters exported to your document management system.
Example: ABN Cancellation_letter.
Letter folder
Turn on the Letter folder option if you want a Letter folder created inside the archive.zip file when exporting.
This folder consolidates the generated letter and the processed PDF in one location for convenient printing.
Turning this option off prevents the Letter folder from being created.

You can use the following date fields in your email and letter templates:

Extract due date | [DocumentDueDate] | Uses extract settings on the Document Profile; commonly used for NOA payable dates |
