Notifying clients

Learn about the different delivery methods and how to notify clients of their ATO correspondence

Depending on the delivery Method assigned to the client, they will be notified of documents processed in ATO SmartDocs in one of the following ways:

  • Email - If the delivery Method is set to email, then the client will be notified via email, either automatically or manually, depending on the settings of the particular document profile.

  • Portal - If the delivery Method is set to portal, then the client will be notified via email that a document will be available within 24 hours for them to view on the portal. Refer to Email Notification.

  • Letter - If the delivery Method is set to paper, then a letter will be produced (if a template exists) and this will need to be printed and sent out to the client. Refer to Letter Notification.

  • noPIN - If the delivery Method is set to noPIN, then the client will be notified via email and the document will be sent as an attachment with TFN & PRN details redacted. NOTE: For the TFN & PRN details to be redacted the TFN in the document needs to match the TFN that is stored on the client record in HUBDATA. To start using the noPIN Method, a disclaimer needs to be acknowledged by the Director/Partner of the practice. Please contact ATO SmartDocs Support for a copy of this disclaimer.

Where the Method field is blank or does not contain the 'email', 'paper', 'portal' or 'nopin' keywords, then the document will simply be processed ready for filing to your Document Management System. No email or letter will be generated.

NOTE: The delivery Method can be assigned to the client via a number of ways. A field may be present in your Practice Management System which determines the delivery Method, which may be a Custom or User Defined field. The Method may be set depending if the client has an email address or not or all clients may be set to one particular delivery Method, e.g. Email. If you are not sure how the Method field is configured, please contact ATO SmartDocs Support.

IMPORTANT: If the Client Not Notified tag appears against a client document in SmartDocs processing and the delivery Method is Email, Portal or noPIN, this indicates that the document has NOT been sent to the client. Even if the status is set as Completed.
