Send emails without a PIN

Use this procedure to send documents as attachments without requiring a PIN. When you use this option, ATO SmartDocs automatically redacts the TFN from the document.

ATO SmartDocs recommends using two-factor authentication (2FA) as your standard security measure. You can use 2FA via emailing or the Vault. Sending documents as email attachments is less secure and does not protect the full ATO document. The NoPIN feature may be suitable for a small group of clients who find 2FA difficult.

To send emails without a PIN:

  1. A Director/Partner needs to view and confirm the Acknowledgment and Disclaimer, which is available by contacting ATO SmartDocs Support. The disclaimer explains that where ATO SmartDocs is unable to redact TFN details, you are responsible for manually redacting the information before emails are sent outside ATO SmartDocs.

  2. Create a Delivery Method field in your Practice Management System, or add a new noPIN option to an existing Custom or User Defined field.

  3. Update the relevant clients with this new Delivery Method and run a Data Sync or Data Refresh.
