Configuration – Method Wording

Updated this week

The Method Wording tab lets you customise the wording used for different delivery methods when SmartDocs processes a client’s document.

You can access this tab by selecting Setup > ATO SmartDocs > Configuration > Method Wording.

The email templates used for Email, myprosperity, Portal and noPIN delivery methods pick up the wording you enter in this section.

Use the [MethodWording] field in your email templates to insert the customised text. You can place this field anywhere within the template body.

Email Wording

When the client's delivery method is set to Email, SmartDocs inserts the Email Wording wherever you place the [MethodWording] field in the template.

If the [MethodWording] field isn’t included in the template, SmartDocs adds the Email Wording at the end.

If no Email Wording is entered, SmartDocs uses the default text:

  • A code has been sent to your mobile phone for you to access the document
Please go to the link here to open the document securely, using the PIN sent to your mobile

The Email Wording must always include text containing a link to [SecureDocURL]. This field generates the secure unique link for the client. In the example above the bold text is assigned the [SecureDocURL].

For example, if you customise the wording, make sure the link assigned to the word here (or equivalent) uses [SecureDocURL] as the Link URL.

Portal Wording

When the client’s delivery method is set to Portal, SmartDocs inserts the Portal Wording where the [MethodWording] field appears in the email template.

If the field is missing, SmartDocs adds the Portal Wording at the end of the email.
If no wording has been entered, SmartDocs uses the default text:

  • We have received communication from the Australian Taxation Office.
The document will be loaded to your client portal where you can access the information securely. You will receive notification of this shortly — please note it could take up to 24 hrs to load to the portal. Would you please review the ATO communication and take the necessary actions required.

noPIN Wording

When the client’s delivery method is set to noPIN, SmartDocs inserts the noPIN Wording where the [MethodWording] field is included in the email template.

If the field is missing, SmartDocs places the wording at the end of the email.
If no wording is entered, SmartDocs uses the default:

  • Your document has been attached to this email.
