You can download documents from ATO SmartDocs and store them automatically in the correct location within your Directory Structure, whether you use OneDrive, a File Server, or another file-based Document Management System. Your implementation team typically sets up this folder structure during onboarding.
Follow the steps below to download documents and save them into the correct folders.
Confirm your directory structure path
Before you begin, check that the Document Profile contains the correct directory structure path. This path determines where documents will be saved.
After confirming the directory path, ensure you have finished processing all documents in ATO SmartDocs.
Select documents to download
Select all documents you want to store in your Document Management System by ticking the checkbox on the far left of each document.
To select multiple processed documents at once, open the dropdown beside Select All and choose Processed. Alternatively, you may use the Filters or Load Filter button to determine the documents to select for download, e.g. Approved & Client Notified
After selecting the documents, click the Download button to the right of Select All.
To download a single document instead, click the orange Download button next to that individual document.
A ZIP folder will download to your computer.
Extract the ZIP folder
Navigate to the downloaded ZIP folder and click Extract All.
When prompted, browse to your client’s central folder. For example:
If your directory structure is
U:\C\Campbell, D A\Mail, extract the ZIP file toU:\.If your directory structure is
E:\Data\HSOFT\DOC\DocBase\Client Data\ABC001\Correspondence, extract toE:\Data\HSOFT\DOC\DocBase\Client Data.
Review extracted folders
After extraction, the documents will follow the predefined folder path and place files into the existing directory structure. If a required folder does not already exist, the system will create it automatically.
