Add or Modify a Document Type Email Template

Use this process to add or edit a Document Type Email Template.

Open the Email Template settings

  1. Select Setup > ATO SmartDocs > Configuration.

  2. Select the Email Templates tab.

  3. Select the Document Types tab.

Choose the Document Type template

  1. Open the Document Types dropdown list.

  2. Select the Document Type you want to customise.

If the selected Document Type has never been customised and currently uses the Master Email Template, the system displays a message prompting you to create a custom version.

  1. Select Customise Template to create a custom template for that Document Type.

  2. If the template has already been customised, the Email Template Editor opens automatically so you can edit the existing Custom Email Template.

  3. To identify which Document Types already have a custom template, type custom in the Document Types dropdown list to filter for customised templates.

Use the Email Template Editor

The Email Template Editor lets you update the email content for the selected Document Type.

You can add your own text and include field data in both the Subject and Body. Examples of field data include:

  • Salutation

  • Type

  • JobManagerName

  • FinYear

The available fields appear below the editor.

Insert fields using square brackets, for example [Type].

When using [ManagerSignature] or [PartnerSignature], ensure the relevant signature image is uploaded for the user under: Setup > Manage > Users > Approver Signatures.

Additional field data (when identifiers are enabled)

If identifiers are enabled and filled out in the selected document profile, you can also include:

  • [FinYear] – extracts the financial year

  • $[AssessAmount] – extracts a dollar amount

  • [Extra$Amount] – extracts a second dollar amount

  • [DocumentDueDate] – extracts a due date

  • [DocumentDate] – extracts a second date

Email Template Editor options

Use these buttons at the bottom right of the Email Template Editor:

Copy from Master Template

Copies the current Master Email Template into the selected Document Type template. You can then customise it.

Delete Custom Template

Removes the custom template for the selected Document Type and reverts to the Master Email Template.

Copy

Copies the Subject and/or Content from the Custom Email Template to the selected Document Type template(s).

Save

Saves your changes to the Custom Email Template.

Note: Changes to a Custom Email Template don’t apply to documents that have already been processed. They only apply to new documents created for that Document Type.
