Email Notification Settings

Email Notification Settings control which automated notifications iPracticeHub sends. You should consider these settings carefully before turning any notification on/off.

New workflow task notification

This setting uses the iWorkflow Alert Email field found under Configuration – General. Turning off this notification stops emails being sent to the addresses listed in that field when a new workflow is created.

Workflow Task allocation notification

When this setting is on, the user assigned to a workflow (the staff member in the Assign To column of Outstanding Workflows) receives an email listing their Outstanding workflows, based on the Frequency Settings.

Ensure the [WorkflowTable] field is included in this notification so the table of Outstanding workflows appears in the email.

Use the Frequency Settings button to control how often notification emails are sent.

Available schedule options include:

  • Never – Sends a notification each time a workflow is allocated or reallocated.

  • Week – Sends the notification weekly or every X weeks, on selected days and times.

  • Monthly on Day – Sends monthly or every X months on a specific day and time.

  • Monthly on Week – Sends monthly or every X months on a nominated weekday and week number.

Workflow Task received confirmation notification (Internal Only)

Turning off this setting stops confirmation emails being sent to internal email addresses (same domain) that submit tasks into iPracticeHub. External email senders always receive confirmation — this cannot be turned off.

Notification Editor

Use the Notification Editor to customise the wording of the three notification templates:

  • New workflow task notification

  • Workflow Task allocation notification

  • Workflow Task received confirmation notification (Internal Only)

You can apply formatting and insert keywords such as [Subject] to include the workflow’s subject line.

The [WorkflowTable] keyword must remain in the Workflow Task allocation notification template so the Outstanding workflows table appears.

The Workflow Task received confirmation notification is always sent to external email addresses.

Set Custom Email Messaging FROM Address

Use this setting to specify the "From" address for emails sent by iPracticeHub via iWorkflows or iTools > Email when Office365 has not been connected.
