Before you import data, refresh the data inside the .csv file if you use MYOB, APS, Handisoft SQL, CCH, or iFirm.
If you use Xero XPM, select Data Sync and then drag in the refreshed TFN and Estimated Tax CSV files.
If you use MYOB Practice Manager (MYOB PM), select Data Sync and then drag in only the Estimated Tax CSV report from XPM.
Data Refresh for MYOB, APS, Handisoft SQL, CCH & iFirm
Part 1: Refresh CSV file
Follow these steps to refresh the CSV data:
Go to the iPracticeHub folder on your network.
Double‑click hubsql.xls or hubsql.xlsx to open it.
Go to the Data tab and select Refresh All.
When the pop‑up appears, enter hubsql as the password and select OK.
After the refresh completes, select Save As and save the file in the same folder as the CSV. For example:
M:\iPracticeHub\hubdata.csvEnsure the file is saved as a .csv so you can drag and drop it into iPracticeHub.
Part 2: Import Data (MYOB, APS, Handisoft SQL, CCH & iFirm)
Once the .csv file has been refreshed and saved, open iPracticeHub and go to Setup > Manage > Hub Data.
Drag and drop the CSV file onto the Import Data tab. Ensure the Drop your CSV data document here label is visible before you release the file.
Select OK to overwrite the existing data.
When the screen clears, your iPracticeHub data is updated. You should now see a list of columns with client names and other details.
Xero
To update client contact details (such as address, mobile number, and email):
Select Data Sync.
Ensure you drag in both XPM CSV reports (TFN and Estimated Tax) at the same time.
If too much time has passed since your last Data Sync, the connection between ATO SmartDocs and your Practice Management System may disconnect.
Reconnect the systems by going to Setup > Configuration > Integration.
Select the pencil icon beside the database and choose Connect.
Enter your login credentials when prompted.
You must run Sync Data at least once per week, even if no client details have changed, to prevent the connection between ATO SmartDocs and your Client Database from timing out.
MYOB PM
To update client contact details (such as address, mobile number, and email):
Select Data Sync.
Ensure you drag in both XPM CSV reports (TFN and Estimated Tax) at the same time, if you are only using Xerousing Xero or just the Estimated Tax (MYOB PM)
If too much time has passed since your last Data Sync, the connection between ATO SmartDocs and your Practice Management System may disconnect.
Reconnect the systems by going to Setup > Configuration > Integration.
Select the pencil icon beside the database and choose Connect.
Enter your login credentials when prompted.
You must run Sync Data at least once per week, even if no client details have changed, to prevent the connection between ATO SmartDocs and your Client Database from timing out.
Note: You cannot edit HubData information inside SmartDocs. Update client details in your Practice Management System.
Integration
If integration has been configured via Setup > Configuration > Integration, you can enable API Integration from the Integration tab.
Once configured by your consultant, a button will appear on the Import Data tab to extract Practice Management data into the Hub.
